Choosing an Event Venue in Vietnam: 5 Factors to Consider Beyond Appearance

26/10/2026 Views: 16

Event Crew focuses on assessing venues against the needs of each programme. The following five factors give organisers a basis for evaluating options before making a decision.

1. A Location That Fits the Delegate Schedule

The venue should be considered in relation to accommodation, the group’s arrival and departure points, and other programme activities. A location that appears convenient on a map still needs to be checked against expected travel times and actual access conditions.

Organisers should also clarify passenger drop-off and pick-up areas, group entrances and accessibility for participants with additional support needs. These details directly affect scheduling and delegate guidance.

2. Capacity Based on the Actual Layout

Advertised capacity does not fully reflect the space available for a particular programme. Within the same room, the suitable number of participants will vary according to seating arrangements, the stage, equipment and aisles.

Expected delegate numbers therefore need to be checked against the proposed floor plan, allowing for speaker support, coordination areas and concurrent sessions. The aim is to provide sufficient space while enabling participants to follow discussions and interact comfortably.

3. Technical Infrastructure That Meets Programme Requirements

Power supply, internet connectivity, audio and presentation facilities need to be assessed against their intended use. If the programme includes online participation or several rooms operating simultaneously, technical requirements should be clarified for each area.

The parties also need to agree on what the venue provides, what must be added and when testing is permitted. This creates a basis for assessing feasibility beyond the equipment inventory.

4. Convenient Movement Between Areas

Delegates typically move between registration, meeting rooms, break areas and side activities. Intersections or unclear routes can cause congestion, particularly during arrivals and session changes.

A site visit should follow the participant’s actual route to identify signage locations, assistance points and suitable arrangements for managing attendee flow. The layout also needs to be reviewed alongside the schedule to identify periods when large numbers of people will gather.

5. Back-of-House Areas That Support Operations

Behind the guest-facing spaces are practical needs for staging supplies, storing materials, preparing speakers and accommodating the coordination team. Without suitable areas, backstage work can affect shared spaces.

Handover times, delivery routes and rules governing these areas should be confirmed early. These conditions help the team organise tasks and prepare according to schedule.

For Event Crew, a site assessment translates client requirements into criteria that can be checked. Strengths, limitations and any additional arrangements need to be clarified so that organisers can make an informed choice.
